What do we do when a sponsor or external entity sends us a DocuSign?
First, be sure it isn’t a phishing attempt! If the signature request looks legitimate, please download a PDF, or request one from the external party, and route to the appropriate contracting office as usual.
Even if we ultimately sign in DocuSign, please do not instruct an external entity to route a DocuSign or other signature request directly to an OGC team member to start any intake process.
Please do not use the DocuSign tools to reassign us as the signatory, we will still have no idea which faculty member is interested in the agreement or if they have approved the project details within it.
Someone from OGC is copied on the email from the external party providing the agreement or amendment for signature, do we still need to take action?
Yes please! You are a particularly important first step in the contracting process. Please review the agreement or amendment project/budget details and follow the usual processes for submitting the agreement or amendment to the correct contracting office for signature.
What if they are just returning the fully executed copy and copy OGC.contracts, will you forward to the next step in the process?
When the external entity sends the fully executed copy back, they will not provide the InfoEd number. We are happy to forward the agreement to our Intake team on your behalf, but we need the InfoEd number to do so. You are always welcome to email the Intake team directly if you would like to avoid any additional delays before having your speedtype set up.
